Consultant Invoice Template

Consultant invoice template for retainers and project milestones

A consultant invoice should identify the engagement period, milestone, or advisory session being billed. Match the line items to the statement of work so the client can reconcile the invoice without guessing what the fee covers.

Examples use illustrative USD amounts and generic sender/client labels. Replace details and check agreed terms before sending. This template does not determine tax or legal requirements.

Three ways to structure this invoice

Choose the structure that matches how this work was priced. Each total below uses the same USD calculation as the invoice editor and PDF export.

What to show on a consultant invoice

Use details the client needs to match the charge to the work and the agreement.

  1. 1

For a retainer, state the covered month and the service scope in the line description. Avoid implying unused hours roll over unless that is part of the agreement.

  2. 2

For milestone billing, name the milestone being invoiced and keep other future stages off the invoice. If it is a partial bill, say so in the description or notes.

  3. 3

For workshops and advisory days, separate preparation from the session when those are priced differently. Add travel only when it was agreed and keep it as its own line.

Questions about this template

How should consultants bill for travel expenses?

If your engagement allows reimbursement, list agreed travel charges separately from the consulting fee and follow the receipt process in your agreement.

What should a consulting milestone invoice name?

Name the stage being billed and the deliverable or review it covers. Keep later stages off the invoice until they are part of the amount now due.
