# Freelance invoice checklist

Use this checklist to review an invoice against the work and payment terms you agreed with the client. It is a practical reminder, not tax or legal advice.

## Before you invoice

- Confirm the client contact and billing details they asked you to use.
- Check the approved scope, completed work, covered dates, and agreed price.
- Confirm whether you are billing hourly, by deliverable, by milestone, or by retainer period.
- Check the due date and any deposit or staged-payment arrangement agreed with the client.
- Gather receipts or reference numbers only when the client needs them.

## Review the invoice

- Add your business or sender name and contact details.
- Add the client's name and billing details.
- Use a unique invoice number and issue date.
- Describe completed work in separate, readable line items.
- Check each quantity, rate, and line amount.
- Enter any tax amount that applies to your circumstances and agreement.
- Subtract payments already received so the balance due is clear.
- State the agreed due date, payment terms, and payment instructions.
- Check the invoice total and remaining balance before exporting.

## Before you send it

- Compare the PDF with your source notes and client agreement.
- Confirm the recipient and attachment are correct.
- Keep a copy with your own records.
- Follow up using the tone and timing you agreed with the client.
